In addition to our discounted mobile notary pricing, we also offer a host of convenience services designed for estate planning attorneys. Our most popular service is our on-site scanning. All of our mobile notaries are equipped with a desktop scanner, capable of scanning hundreds of pages in minutes. Once scanned, we can then send the documents via encrypted email or we can upload the files directly into your client portal. Since every law firm operates differently, our notaries are accustomed to following unique instructions to get the job done. Some of the firms we work with want documents sent via encrypted email, others prefer us to upload the documents directly into client portal. Some firms want regular printer paper, while some prefer 24lb ivory linen. The important thing to know is that we are flexible and can adapt our services to the needs of your firm.
This option gives you and your staff control over binder and document preparation and allows us to handle the rest. Once we’ve met with the client and notarization is complete, we then take each document from its place in the binder, scan it, and place it back in its original place before moving onto the next document. Once we’ve scanned all the documents, we can then email all the pdfs (labeled with document titles) back to your firm or upload them into a secure client portal. We can also email the docs to the client or give them a complimentary flash drive with all the pdfs.
This option takes the workload off you and your staff and allows us to handle everything. You deliver your binders to us and send us instructions on how to conduct your signings. We will then print, 3-hole punch and place the documents into the binder according to your firm’s specifications. Good news! If you are using our printing and scanning services, binder preparation is free! Once we’ve met with the clients and scanned all the documents, we can then email all the pdfs (labeled with document titles) back to your firm or upload them into a secure client portal. We can also email the docs to the client or give them a complimentary flash drive with all the pdfs.
Believe it or not, this is the most common way EP Attorneys, especially those who are solo practitioners, use our services. Once notarization is complete, the notary begins scanning while the attorney goes over finishing details with their clients. This allows the attorney to build better rapport with the client, often resulting in referrals of the client’s friends and family. The electronic files are then emailed or uploaded into the portal so that the clients can leave with the binder of documents rather than waiting for the binder in the mail. Not only does this save the law firm on shipping, but the client doesn’t have to wait to begin the funding process.
